If you need to record information for an inventory item that isn’t covered then you can add custom fields.

Which one would you choose?

The Gallup Organization interviewed over 80,000 managers in 2,500 business units and found that great managers who out-perform their peers chose the second answer.

The answer makes a lot of sense if you think about it. If your business has a superstar in each of marketing, finance, operations, service, etc., your whole team will fit nicely together and be able to produce some great results. On the other hand, if you just have a bunch of average staff who each can do a bit of marketing, finance, operation, etc., then you’ll only get average results.

On a more individual level, the research argues that individuals who don’t have an inherited talent for a specific area (ie. their weakness) can never achieve excellence in that area. Fixing it will only push it to a more acceptable level. Rather, if you spend the same amount of time developing their potential and nurturing their strength, the outcome will be far more impressive.

More simply, you cannot expect Mozart to become Einstein by fixing his weakness in science. At most, he might become an average scientist, but you’ll distract him from becoming a great musician.

How to get a business e-mail address with your own domain name

The first impression you make on customers may include the e-mail address that you use. An address like janedoe42@hotmail.com looks amateurish, whereas jane@mycompany.com is much more professional. Here’s one way you can make the switch, typically for under $20 a year.

1. Pick and register your business domain name (the part of your e-mail address after the @ sign). If you have a common business name, it might be already taken, so you might have to get a little creative. Some sites that provide this service are godaddy.com and 123-reg.co.uk, or search for domain name registration in your country and check that your choice offers free e-mail forwarding (most do).

2. Sign up for a GMail account. Many other e-mail services will also work. It doesn’t matter too much what this address is, as your contacts usually won’t see it.

3. Set up e-mail to forward to your GMail account. You can usually do this from a control panel that you’ll be given access to after step 1. Instructions for GoDaddy

4. Set up GMail to make it look like you’re sending messages from your new business e-mail address. Set this as your default account.

That’s it! Now you can log into GMail and treat that as your business e-mail address, your contacts won’t be able to tell the difference.

If you sell products, you may want to take advantage of their barcodes to let you take orders and receive goods faster and more accurately. If you’re selling a product, just scan what you’re selling, then print out an invoice and have your inventory automatically adjusted.

It’s much easier and cheaper to get this going than most people think. All you need besides your computer is a barcode scanner and some compatible software.

A basic barcode scanner sells for about $100, and you can get used ones for even cheaper than that. Don’t be overwhelmed by all the choices out there; a basic USB barcode scanner will work with just about any computer and will suit the needs of most small businesses. If you’ve ever sat at your office feeling too tired to get anything done, this article is for you.

When you’re working on creative tasks, people often lack the energy they need to be effective more than the time. We all have those times when we’re feeling lackluster and those times where we’re ready to kick butt; I know I can be ten times more productive when I’m hyped than when I feel a little drowsy. If you have the flexibility of choosing when you want to work, you should think about taking advantage of these energy cycles.

For example, I’m not a morning person. I’m usually most energetic in the mid-afternoon. I generally try to set up my day to take advantage of this. In the morning, I’ll take care of easier tasks like writing emails or running errands. Then when I’m at my most productive, in the mid-afternoon, I’ll set aside a block of time to work on problems that take more concentration. This is a lot easier if you’ve been able to organize things so that you can choose when you want to work.

Planning your work around your energy is one thing, but there are also things you you can do to increase your energy levels. Many people rely on caffeine to wake them up. I find this helps me in doing repetitive tasks, but it makes it harder for me to think creatively. Doing some exercise is a great way to get the blood flowing through the body and brain. Eating a light, nutritious lunch is also great. See what works for you by experimenting.

A trap many big companies fall into is losing touch with their customers. Many executives never talk to customers directly, only learning through statistics and demographics. As a result, they often make decisions to treat their customers like numbers, not human beings. Customers dread calling into these sorts of companies, like AOL.

Small businesses have the advantage that the owners and decision-makers are often forced to be on the front lines dealing with customers. This helps in gaining a deep understanding of what customers want. In fact, I often prefer buying from small businesses because they usually have a more personal touch. Ironically, as the business prospers, the folks in charge often throw away this connection with customers by hiring poorly-paid customer service people.

It doesn’t have to be like this. Some big companies, like Nordstrom, are famous for their customer service. The key is growing your company intelligently.

Make sure all the decision makers in your company spend at least some time keeping in touch directly with customers by doing customer service, taking orders, or making some calls. This will help them understand how your offerings can be improved. They’ll get to hear problems and suggestions right from the customers. Or if customers are confused, they can think about how to tweak the product or information to clarify. It’s also an incredible motivational boost when they know exactly whom their work will help.

It may be humbling, and you might hear some complaints that they don’t have time for it, but you can’t afford to let the business be run by people who don’t know your customers inside out.

If someone asked you to describe your business in a few words, how would you do it?

If it takes you a few minutes to describe all the things that you do; you probably need to think more about what’s really important to your business. And your audience will probably be stifling yawns.

On the other hand, if you can answer too quickly, “I’m an accountant” or “I sell watches”, you might be limiting yourself too much. To most people, calling yourself an accountant doesn’t just mean you work out numbers, it comes along with certain stereotypes, like being very formal and boring. The danger comes from thinking of yourself this way and being subtly pulled to act just like the stereotype.

Try adding a little twist to your summary. Maybe you’re “Toronto’s friendliest accountant”. Not only will this help customers remember you, but it helps you think of ways you can stand out even more. Maybe you should use plain language and graphs to help your clients understand their financial situation. Maybe you can send handwritten birthday cards or wear more casual and colourful clothes.

When summarizing your business, tell people what you do, but also what makes you different.

How to Save on Paypal Currency Exchange Rates

If you’re a business based outside of the United States but use Paypal to collect US dollars, Paypal might be double-charging you. First, you pay the usual Paypal fees. Second, you’re probably paying Paypal another 2.5% to exchange your money from USD to your local currency.

You’d think that if you have a US dollar account with your local bank, you could just have Paypal deposit it to your US dollar account. But they won’t; they’ll only deposit US dollars to US-based banks. They won’t send you a cheque either. They’re making easy money by skimming 2.5% off the exchange rate, and they like it that way.

Here’s how we got around it in Canada. You might be able to do something similar in other countries as well.

First, we looked for a bank based in the US that would let us set up a business account with them. If you’re a sole proprietor, you might be able to set up a personal bank account, which is a little easier. We used Harris Bank.

Then, we looked for a good foreign exchange (forex) business to exchange our US dollars to Canadian dollars. Most offered us rates that had a markup of only around 0.5 - 1 percent off the mid-market rates. This meant that we’d save about $200 each time we exchanged $10,000. We’re planning on donating this extra money to charity. We chose Calforex, which is reputable, convenient, and offers competitive rates.

After setting those up, here’s how we transfer money:
1. Withdraw money from Paypal into our US bank account (at Harris).
2. Write ourselves a cheque from Harris to our local US dollar bank account.
3. Arrange a trade with Calforex to convert our US dollars to Canadian dollars.

This takes some extra time to set up, but it’s worth it if you have sufficient volume or you’re annoyed with Paypal.

Email marketing is a fairly inexpensive form of advertising. You can potentially reach thousands or millions of customers at almost no cost. However, many companies have been using this technique indiscriminately. The result of this is a huge amount of unsolicited emails (i.e. spam) that end up annoying people.

When email marketing is done badly, the offending company is often called a spammer and can potentially violate the law. Here are some tips to keep in mind:

1) Permission
We should get permission from the recipient before sending them emails. You could have a registration form on your website, where the user can decide whether to receive emails from you.

2) Opt-out Link
Every email should include a link where the user can unregister so that they won’t receive any further emails from you.

3) No Purchased List
Some companies might buy an email list from a provider. This is very dangerous as the recipients who give permission to the provider might not welcome other emails from you.

When you’re doing any email marketing campaign, ask yourself a question, “how would I feel if I were the one receiving this email?” This common sense approach will help you to identify whether your emails are useful and relevant to the recipient or not.

Multiple Users Network

Does inFlow work over a network for multiple users at the same time?

Yes! You can hook up your computers with inFlow, allowing you and your colleagues to work and share information at the same time.

How do I start setting up inFlow in multi-user mode?

First, pick which computer is going to be your server computer. This should be one of the faster computers you have, and it should be left powered on whenever anyone else might be using inFlow. If you have not already done so, download and install inFlow on this computer. Then, from the File menu, pick Switch to Multi-user Mode and follow the instructions from there.

Does the Free Edition allow multi-user access?

The Free Edition of inFlow offers read-only access to inFlow when in multi-user mode. This means you'll be able to view customer information, generate reports, etc., but not make any changes.

There's one exception aimed at letting you try out inFlow in multi-user mode with the Free Edition. A Free Edition copy of inFlow can act as the server hosting inFlow in multi-user mode, allowing only other people on the Free Edition to connect to view the same data. In this case, the server computer will not be read-only.

Can I allow only limited access to the system for some people in my company?

Yes, you can create different users within inFlow with separate passwords, giving them different names and access rights. This will allow you to control who has access to what.

Can I connect computers that aren't on the same network together over the Internet?

The multi-user functionality of inFlow is designed mainly for connecting computers over a local area network (LAN). We don't officially support using inFlow between computers connected over the Internet, but a number of people have done this successfully.

What's the deal with the Free Edition?

If you only need the basics, we offer the Free Edition, which you can use forever at no charge -- no strings attached. How many customers and products can I store in my database?

The Free Edition allows you to track a combined total of up to 100 customers and products. So you can have 40 products and 60 customers on file, or 50 of each. The Standard Edition allows you to keep an unlimited number of products and customers. Both editions allow you to have an unlimited number of other entities like Sales Orders.

What kind of support will I get?

For the Free Edition, we offer an online forum where you can ask questions. For the Standard Edition, you will also get 1 year of unlimited email support and 10 support incidents through our toll-free phone number at (1·866·923·4974). The toll-free number is currently only available within the US and Canada.

How can I buy inFlow?

You can buy inFlow online here. We accept payment via credit card and PayPal.

After the payment is processed (usually within half an hour), an email will be sent to you with the license key in it. Follow the instructions from there to activate inFlow on your computer.

How secure is the online payment?

All of our online payment is done through PayPal's secured website. When you hit the "Buy Now" button in the Get Started page, you will be sent to the secured PayPal payment website, where you enter in your credit card and other info.

In fact, since PayPal handles all of our payment services, we won't even know your credit card number or PayPal account info.

My country isn't shown as an option on Paypal when I try to buy inFlow Standard Edition. How can I upgrade inFlow?

Unfortunately, a number of countries (e.g. Egypt, Pakistan, and others) are not supported by our main payment provider Paypal. Please contact us at sales@inflowinventory.com and we can make arrangements through another major payment service and send you your license key.

How does the licensing for the Standard Edition work?

Once you have purchased the Standard Edition, you will receive a License Key. You can then activate your copy of inFlow for your computer through the software. One license of inFlow allows you to run it on one computer at a time. However, we allow up to two pre-authorized activations, in case you decide to switch computers. If you need more activations, please contact us for support.

Reinstalling Windows or upgrading from XP to Vista should have no effect on activation if the hardware hasn't changed.

How does Standard Edition licensing work with multi-user access? Can I use the same license for when I switch between my desktop and laptop computers?

To use inFlow in Multi-User mode, you will generally need one Standard Edition license for each computer with inFlow installed. However, if you have one person who uses two different computers (e.g. a desktop computer and a laptop), you may choose to activate inFlow on both computers using the same license key. In this case, only one of those two computers can be using inFlow at any given time.

What happens if there is an upgraded version after I bought it?

For major upgrades (e.g. Version 1 to Version 2), all customers who purchased the software within 1 year of the upgrade release date will get the upgrade for free.

All minor upgrades within the same version (e.g. Version 1.1 to Version 1.2) will be free forever to everybody, including Free Edition users.

I recently purchased some licenses for inFlow, and now I want to add on some more. Can I get the bundle price for them?

If you're adding on additional licenses within 45 days of your original purchase, go ahead and purchase the additional licenses, and then contact us at sales@inflowinventory.com with the following information:
- The e-mail address you used when purchasing inFlow on Paypal. This is the address that your license keys were e-mailed to.
- The date, number of licenses, and price when you originally purchased inFlow
- The date, number of licenses, and price when you puchased additional licenses
